Own The Contract Claim a founding spot

Client Terms

Effective date: November 2, 2026

These terms explain how Own The Contract works, what we promise, and what we can't promise. "We" and "us" means Cal Marran, an Illinois sole proprietor doing business as Own The Contract. "You" means the licensed therapist (or practice) who hires us.

If you have a question about anything here, email us at [email protected] before you pay.

1. What we do

We prepare and submit insurance network applications for you. This is called "credentialing." For each insurer you buy, we:

  • set up and check your CAQH profile with you;
  • fill out the insurer's application;
  • submit it after you review and approve it;
  • follow up with the insurer until it makes a decision; and
  • keep a private status page for you. It shows each insurer, the date we submitted, the reference number or dated confirmation, and the current status.

We are a paperwork service. We are not a law firm, accountant, billing company, insurer, or licensing board. We don't give legal, tax, or clinical advice.

Not included (unless we agree in writing):

  • billing your claims
  • appealing claim denials
  • negotiating your rates
  • Medicaid enrollment
  • getting malpractice insurance
  • fixing problems with your license

2. Prices

PlanPrice
One insurer$149 per insurer
Five insurers$599 for 5 insurers (works out to $119.80 per insurer)

These are founding prices for our first 10 clients. Prices for later clients may be different. Any change won't affect anything you've already paid for.

You pay up front by card through Stripe, our payment processor. We never see or store your full card number.

Before you pay, we check whether each insurer you pick looks open to new providers like you in your area. If one looks closed, we tell you, so you can choose another one before paying.

3. Our timing promise and refund

Our goal: we aim to submit each insurer's application within 5 business days after your documents are complete.

Our guarantee: for each insurer you buy, we will submit the application and post proof on your status page within 10 business days after your documents are complete.

If we miss the 10 business days for an insurer, we refund 100% of what you paid for that insurer: $149, or $119.80 per insurer on the 5-pack. Just ask. No argument.

The 5-day goal is a target, not a guarantee. Only the 10-business-day deadline is tied to a refund.

What "proof" means. Whatever the insurer gives when we submit:

  • a reference, case, or request number;
  • a confirmation email; or
  • a dated screenshot from the insurer's website showing it received the application.

Some insurers don't give a number right away. For those, proof is a dated copy of what we sent, and we add the insurer's number when it arrives.

What "documents complete" means. All of these are true:

  1. Everything on our intake checklist is in, checked, and consistent.
  2. You've approved ("attested") your CAQH profile and authorized each insurer you bought in CAQH.
  3. You've given us the website access each insurer needs, by adding us as a user, never by sharing a password.

We'll email you the date your clock starts. Paying alone does not start the clock.

"Business days" means Monday through Friday, not counting U.S. federal holidays.

The clock pauses while:

  • we're waiting on you (an answer, a signature, a missing document, a CAQH re-attestation);
  • an insurer's website or CAQH is down; or
  • CAQH is still reviewing a brand-new profile.

We'll tell you in writing when the clock pauses and when it starts again. A pause stops the clock; it does not reset it to zero.

4. If an insurer's panel is closed

Insurers can close their networks ("panels") in some areas, sometimes without warning. If an insurer tells us its panel is closed before we can submit, you choose:

  • a free swap to another insurer, or
  • a full refund of that insurer's fee ($149, or $119.80 per insurer on the 5-pack).

5. No guarantee of approval

Only the insurer decides whether to accept you, when, at what rate, and with what start ("effective") date. We do not guarantee:

  • approval or a contract;
  • that a panel will be open;
  • a payment rate;
  • an effective date; or
  • how fast an insurer works.

Any timeline we mention is a good-faith estimate.

Our refund promise in Section 3 covers our own deadline only. It is not a promise about any insurer's decision.

6. Keep billing the way you do now

Keep billing through your current platform (for example Headway, Alma, or Grow), or however you bill today, until each new contract's effective date is confirmed in writing and you're set up in that insurer's system. Sessions before the effective date may be paid out-of-network, or not at all.

We'll remind you of this, but you decide when to switch. Before moving any clients, check your platform agreement for its rules about notice and clients.

7. Limits on our responsibility

We are not responsible for lost income or other indirect losses. That includes:

  • unpaid or underpaid claims;
  • billing gaps;
  • delayed effective dates; and
  • sessions billed before a contract was effective.

If something goes wrong, our total responsibility is limited to what you paid us for the service in question in the 12 months before the claim.

Some places don't allow certain limits like these. Where that's the case, these limits apply only as far as the law allows.

8. What you agree to do

  • Give us accurate, complete, current information, and tell us quickly about changes. That includes your address, license, malpractice insurance, tax ID, and ownership.
  • Keep your license and malpractice insurance active.
  • Review and approve each application before we submit it. You're responsible for what's in it.
  • Handle your own CAQH steps. Only you can attest your CAQH profile and authorize insurers to see it. We prepare everything, remind you, and walk you through it, but you click "attest" and "authorize" yourself, every time. That includes each re-attestation, which CAQH requires every 120 days (180 days for Illinois providers).
  • Give us access the safe way. Add us as a user or delegate on CAQH and on each insurer's website.
  • Reply within 3 business days to our questions.
  • Sign insurer contracts within the insurer's deadline. For example, Optum asks for contracts back within 7 days.
  • Use only our secure intake tool for your Social Security number, date of birth, tax documents, and bank details (Section 9).

If we're waiting on you for more than 30 days, we may pause your file. It restarts when you respond, and your 10-business-day clock picks up where it left off.

9. Passwords and sensitive information

  • We will never ask for your passwords, and we won't accept them. That covers CAQH, insurer websites, NPPES, your bank, and anything else. You give us access by adding us as a user, and you can remove us any time.
  • Your Social Security number, date of birth, tax ID, and bank details go only through our secure, HIPAA-compliant intake tool, which we'll name in writing before you share any sensitive details. We will never ask for them by email, text, chat, or shared folders, and the form on our website doesn't collect them. If you send them another way anyway, we'll delete the message and ask you to resend securely.
  • We don't need, and won't accept, any patient information.
  • How we collect, use, share, and protect your information is explained in our Privacy Policy.

10. Refunds and cancelling

  • Before we start work on an insurer: a full refund for that insurer, on request.
  • After we start work on an insurer: no refund, except:
    • we miss our 10-business-day deadline (Section 3);
    • a panel is closed before we submit and you choose a refund (Section 4); or
    • we made a mistake we can't fix.
  • If we end the service (Section 11), we refund every insurer we haven't submitted yet.
  • If you dispute a card charge with your bank, we may pause work until it's resolved.

To ask for a refund, email [email protected]. Refunds go back to the card you paid with.

11. When we can stop working with you

We can end the service if you:

  • give us false information;
  • ask us to submit something untrue; or
  • are abusive to us or our staff.

If that happens, we refund every insurer we haven't submitted yet.

12. Disputes, changes, and the rest

  • Talk to us first. If you're unhappy, email [email protected] and we'll try to fix it.
  • Governing law: these terms follow the laws of Illinois.
  • Changes: we may update these terms. We'll change the effective date at the top. Changes don't apply to services you've already paid for.
  • If any part of these terms can't be enforced, the rest still applies.
